How to Set Up a Baby Registry Friends Will Actually Use

A baby registry only works if people use it. The difference between a fully claimed list and a half-empty one usually comes down to structure and sharing.

Organize by Category

Group items into sleep, feeding, travel, and play so guests can shop by what they want to give.

Guests arrive with a rough intention already formed. Your aunt wants to buy something soft, your cousin wants to buy something useful, your coworker wants to spend about $40 and be done in five minutes. Categories let each of them find their lane instead of scrolling through eighty unsorted items and giving up.

Write a Line About Each Item

The single biggest upgrade to any registry is a short note under the things that need one. Not every item, just the ones where a guest might hesitate.

  • "Any colour except the pink one" saves a return
  • "We need three of these" tells guests duplicates are welcome here
  • "This is the exact model our paediatrician suggested" heads off well-meaning substitutions
  • "Group gift, contribute any amount" makes the $400 item feel approachable

Substitution is the quiet killer of registries. A guest sees a $70 bottle sterilizer, decides they know a better one, and buys something you did not want. A one-line explanation prevents most of that without sounding demanding.

Cover Every Budget

  • Small items under $25 for coworkers and casual guests
  • Mid-range gear in the $40 to $100 range
  • A few group-gift items above $150

Weight the list toward the bottom two bands. For a shower with 25 guests, something like 30 items under $40 CAD, 15 between $40 and $100, and four or five larger pieces gives everybody a comfortable choice. Registries that skew expensive get abandoned, and the guest who felt priced out shows up with a gift card instead.

Turn On Claiming

Claiming is the feature that makes a registry actually work. When a guest marks an item taken, it stops being available to everyone else, and you avoid the two-stroller problem without anyone having to coordinate in a group chat.

It also protects the surprise. A good wishlist hides who claimed what from you while still showing guests what is left, so you get the benefit of the coordination without spoiling the shower.

Share It Everywhere

Put the link on the shower invite, in the family chat, and on your social profiles. One clean link beats five store accounts every time.

Give the link to your shower host separately, because they will be asked more often than you will. Same for your mother and your closest friend. Three people armed with a copy-and-paste answer will handle most of the traffic before it ever reaches you.

Get the Timing Right

Have the registry populated before invitations go out, which usually means four to six weeks ahead of the shower. Guests start shopping the day they receive the invite, and an empty or half-built list at that moment costs you the early buyers.

Do a mid-course refresh about a week after invitations land, once the first wave has cleared out your cheapest items. And leave it open for a couple of months after the birth. Long-distance relatives and coworkers often wait until the baby arrives before sending anything, and they will want a list to shop from.

Handle Shipping Sensibly

Decide where things go before you share the link. If you are moving before the due date, or you would rather not publish your address, ask the shower host to receive parcels and note that on the registry.

Favour retailers that ship domestically within Canada. Guests buying from US sites can get hit with brokerage and duty charges that turn a $50 gift into a $75 one, and that experience makes people less likely to shop your list a second time for the next baby.

Keep the List Alive

A registry that goes stale stops earning gifts. Check the links once a month while it is live, because retailers discontinue lines and sell out of colours without warning, and a dead entry reads as neglect.

Swap out anything you have since bought yourself, and add replacements in the same price band so the balance holds. Two minutes of tidying keeps a list looking curated rather than abandoned, and guests notice the difference even if they could not name it.
